An Introduction to Electronic Dockets for Subcontractors

The free SafeSite mobile app lets subcontractors create and submit electronic dockets from their mobile devices. These electronic dockets replace traditional paper dockets and provide a record of work completed for a head contractor. You can track your dockets as they move through the review and approval process.

Note: You will need to Install and register the SafeSite app before you can create your first electronic docket. See Install and Register the SafeSite App From an Invitation help article for instructions.

How Electronic Dockets Work

As a subcontractor, you create an electronic docket in SafeSite each workday and submit it to your supervisor when your work is complete.

Your docket then moves through the following process:

  1. You create and submit the docket in SafeSite.
  2. Your supervisor reviews the docket and either accepts or rejects it.
  3. If accepted, an engineer reviews and approves the docket.
  4. The approved docket can then be processed for invoicing.

If your supervisor rejects a docket, it returns to you so you can make the required changes and resubmit it.

Complete Your Daily Docket

As you progress through your workday, you can return to the docket and add information as required.

Depending on the type of docket, you might need to:

  • Record the work you completed.
  • Add remarks about the work being performed.
  • Add applicable plant Attachments or labor Allowances.
  • Add photos of completed work, work in progress, or issues encountered.
  • Record your hours and other required docket details.

At the end of your workday, submit the completed docket to your supervisor.

Your supervisor can't change details that you entered, such as your hours. If information is incorrect, the supervisor rejects the docket and returns it to you for correction.

Complete Your SafeSite Sign-on

When you sign on to SafeSite, you might need to answer a series of Fit for Work questions. These questions help confirm that you and, where applicable, your machine are fit for work.

For some types of work, the head contractor might also require SafeSite to track your location while you're working. Your project team tells you if location tracking is required. Location tracking stops when you sign off at the end of your workday.
